How to Create and Edit Curated Lists

In this article, you will learn how to create and edit curated lists.

Note: Only Organization Managers will be able to make these changes.


Step 1:

From the dashboard, click on your name in the upper right corner and select Organization Profile from the drop-down menu.

Step 2:

Choose Curated Lists from the menu on the left side.

Step 3:

From here, there are three tabs with different curated lists: Organizations, Participants, and Attribute Options. Click on the tab for the list you would like to edit. Instructions for each tab follow below. These curated lists standardize your data, reduce spelling errors, and customize picklists to your organization.


Organizations:

There are multiple fields within Ceto to record the organization. To populate those fields you must first add the organization in this tab and assign the type.


Add New Organization:

When you click on Add Organization, you will be able to type in the Name of the organization and select the appropriate organization Type from the drop-down menu. You can select all Types that apply to that organization.

  • Organization Types are Necropsy Lead Organization, Post Release Tracking Organization, Expert Organization, and Participant Organization.
  • Selecting the Types tells Ceto which fields should show this organization as an option.

Once you have added the Name of the organization and selected the Type(s) of organization, click on the blue Add Organization button in the lower right corner to save the information.

Edit Existing Organization:

You can also edit an organization's name or type by clicking on the blue Edit text in the organization's row.

In the update window, you can edit the organization's Name and/or the organization's Types.

Once you are finished editing, make sure to click on the blue Update Organization button in the bottom right corner to save your changes.


Participants:

There are multiple fields within Ceto to record participants. To populate lists in those fields you must first add the participant's Name in this tab and assign the Organization and Types for each. When you select a participant from a picklist, Ceto will automatically fill in the associated organization field based on the information recorded here. Assigning the Types tells Ceto which participant's Name should be shown in which fields.

Add New Participant:

You can add a new participant by clicking on the blue Add Participant button in the upper right corner. In the Add Participant window, type the person's Name as you want it to appear in Ceto picklists. Select the appropriate Organization. This Organization list will auto-populate with the organizations entered in the Organizations curated list tab (see above). Next select the appropriate participant Types (select all that apply).

  • Participant Types are: Necropsy Lead, Participant Name or Qualified Expert Name (see glossary for descriptions of each).

Once all information for the participant has been entered, click on the blue Add Participant button in the bottom right corner to save the information and add the participant to the curated list.

Edit Existing Participant:

You can also edit a participant's name, organization, or type by click on the blue Edit text in the organization's row.

Once the information has been updated, click on the blue Update Participant button in the lower right corner to save the changes.

Attribute Options:

There are three attribute picklist curated by your organization: Island, Body of Water, and Organization Keywords. Each list is specific to your organization. The process for editing each list is the same. We will use Island for the instructions here.

  • Island: This is a list of all the islands in your response area where an animal may strand.
  • Body of Water: This is a list of all the bodies of water within your response area where an animal may strand.
  • Organization Keywords: This is a list of names/titles/identifiers your organization might use to group stranding events. A single stranding event can have multiple Organization Keywords.
    • Example: if you want to keep track of all the animal's Julie sampled as part of her PhD project you could add an Organization Keyword like "Julies' PhD project."
    • Example: Alternatively, you may want to identify all the animals in a mass stranding that occurred on Blue Island by assigning the keyword "Blue Island mass stranding."

To edit an Attribute List click on the blue Edit text on the right side of the attribute row.

In the Update window click on the green + to add a new row. Type the name of the island in the new text box. To edit the name of an existing Island, click in that text box and make the edits. To delete an existing row, click on the red trashcan associated with that row. When you are finished update the attribute list click on the blue Update Attribute Options button in the lower right corner to save your changes. If you click Cancel, your changes will not be saved.
